Service history
What to record in a vehicle service history
A useful service history does not have to be long. It needs enough detail to show what was done, when, at which mileage and at what cost.
Minimum record
The most useful fields are date, mileage, work type, short description, labor and parts cost, workshop name and invoice or receipt attachment.
- Avoid vague entries such as “service”. A better record is: oil 5W-30, oil filter, air filter, brake check.
- If a part has a catalog number, add it to the description or attach the invoice.
Records that often help
Track oil and filter changes, brakes, tires, battery, timing belt or chain work, fluids, larger repairs, diagnostics and recommendations from inspections.
- For tires, record season, size and storage place.
- For timing and fluids, add the expected next date or mileage.
Keep records clean
Separate service records from reminders. A reminder says what needs doing; a service record confirms what was actually done.
- After work is complete, convert the reminder into a service entry if the app allows it.
- Do not delete older costs if you want a full ownership-cost picture.
